1. Acceptance of Terms

By accessing and using Coachalyze, you accept and agree to be bound by these Terms and Conditions. If you do not agree to these terms, please do not use our platform.

2. Account Types and Subscriptions

Coachalyze offers different account types:

  • INDIVIDUAL: For individual coaches with PRO or BASIC subscription tiers
  • CLUB_ADMIN: For club administrators to manage multiple coaches
  • CLUB_COACH: For coaches under a club organisation with full PRO features
  • PARENT: For parents/guardians to view their child's development data (free, no subscription required)

Subscription fees are processed through Stripe. You agree to provide accurate payment information and authorise recurring charges based on your selected plan.

3. User Responsibilities

As a Coachalyze user, you agree to:

  • Provide accurate and complete information
  • Maintain the security of your account credentials
  • Use the platform only for legitimate coaching and player development purposes
  • Obtain appropriate consent before entering player data
  • Not share login credentials with unauthorised users
  • Comply with all applicable laws and regulations, including the UK GDPR and Data Protection Act 2018

4. Children's Data and Coach Responsibilities

Coachalyze processes data about child athletes. The following responsibilities apply:

  • Coaches as data controllers: Coaches who enter player data into Coachalyze act as data controllers for that data under UK GDPR. Coaches must have appropriate authorisation (e.g. from their club, organisation, or parents) to enter and manage player data
  • Coachalyze as data processor: Coachalyze acts as a data processor, processing player data on behalf of coaches and organisations to provide the platform services
  • Parental consent: When parents are invited to the platform, Coachalyze captures explicit parental consent for data collection, AI processing, and data sharing before granting access
  • Safeguarding: Coaches are responsible for ensuring their use of Coachalyze complies with their organisation's safeguarding policies and applicable child protection legislation
  • Data accuracy: Coaches are responsible for the accuracy of player data they enter and must correct or delete inaccurate data promptly

5. AI-Generated Content

Coachalyze uses artificial intelligence to generate player development reports. By using this feature, you acknowledge and agree that:

  • Anonymised processing: Player names are never sent to our AI provider. Only anonymised performance metrics are transmitted. The player's first name is re-inserted locally after the report is generated
  • Coach review required: AI-generated reports are coaching aids and should be reviewed by the coach before being shared with parents or used for decision-making
  • No accuracy guarantees: AI-generated insights are based on the data provided and may not perfectly reflect a player's abilities. They should be used alongside professional coaching judgement, not as a substitute for it
  • No automated decisions: AI reports do not make decisions about players. All decisions regarding player development, selection, or progression remain with the coach

6. Data Ownership and Usage

You retain ownership of all player and team data you enter into Coachalyze. We use this data solely to provide our services, including generating AI-powered insights and progress reports. You grant us a licence to process this data for service delivery and improvement.

7. Parent Access and Reporting

Coaches are responsible for ensuring they have proper authorisation before inviting parents to view player data. Parents must provide explicit consent for their child's data to be processed before accessing the platform. Coachalyze provides the tools, but coaches maintain responsibility for appropriate use and compliance with privacy regulations.

8. Club Admin Responsibilities

Club administrators agree to manage coach invitations responsibly, monitor seat capacity, and ensure their organisation's use of Coachalyze complies with these terms. Club admins are responsible for their coaches' actions on the platform.

9. Cancellation and Refunds

You may cancel your subscription at any time through your account settings or the Stripe customer portal. Cancellations take effect at the end of the current billing period. We do not provide refunds for partial months or unused portions of your subscription.

10. Prohibited Uses

You may not:

  • Use the platform for any illegal purposes
  • Attempt to gain unauthorised access to our systems
  • Share or resell access to your account
  • Scrape, copy, or reverse engineer our platform
  • Upload malicious code or compromise system security
  • Misuse AI-generated insights or claim them as your own professional analysis
  • Use child athlete data for any purpose other than coaching and player development

11. Service Availability

We strive to maintain high uptime but do not guarantee uninterrupted access. We reserve the right to modify, suspend, or discontinue services with reasonable notice. Scheduled maintenance will be communicated in advance when possible.

12. Limitation of Liability

Coachalyze provides tools for coaching and player development but does not guarantee specific outcomes. We are not liable for decisions made based on platform insights, AI-generated reports, or data analysis. Our liability is limited to the amount you paid for services in the past 12 months.

13. Intellectual Property

All platform code, design, logos, and original content are owned by Coachalyze. AI-generated insights are provided as a service feature. You may use reports for coaching purposes but may not redistribute our proprietary technology.

14. Changes to Terms

We may update these Terms and Conditions periodically. Significant changes will be communicated via email at least 30 days in advance. Continued use after changes take effect constitutes acceptance of the new terms.

15. Termination

We reserve the right to terminate accounts that violate these terms. Upon termination, you may export your data within 30 days, after which it will be deleted according to our retention policy.

16. Governing Law

These terms are governed by and construed in accordance with the laws of Scotland and the United Kingdom. Any disputes arising out of or in connection with these terms shall be subject to the exclusive jurisdiction of the Scottish courts.
